This policy explains how College Tournaments Hawaii LLC handles information collected through this website, including tournament inquiries and travel requests. Sports Travel Hawaii LLC is our travel-agency partner and receives travel requests for manual follow-up.

Information you provide

Depending on the form, we collect your name, email address, phone number, school or organization, tournament or team of interest, and messages. Travel requests may also include requested hotel, stay dates, room assignments, adult guest names and contact details, minor ages, T-shirt sizes, guest counts, travel preferences, assistance requests, and your permission to share the request. Optional trip notes and update preferences are included if you provide them.

Please obtain permission before sharing another adult’s information. Forms are intended to be completed by adults; a parent, guardian, or authorized adult should handle arrangements involving minors. If a child submits personal information directly, contact us so we can review and address it.

Technical information and cookies

We use Cloudflare Turnstile on contact, sponsorship and travel-request forms to help prevent spam and automated abuse. When you submit a form, Cloudflare processes technical browser and device signals and your IP address to verify the interaction. Our server checks the resulting security token before accepting the submission. This security service is separate from optional analytics and does not receive the contents of your travel request from our website. Learn more in Cloudflare’s Privacy Policy. You may contact us by phone or email if you prefer not to use an online form.

Our hosting systems may record IP addresses, requested pages, browser information, timestamps, and errors in server or security logs. Forms use security tokens and temporary anti-abuse records, including an IP-derived identifier and duplicate-submission checks. WordPress and store components may use cookies for login, security, or session functions. You can manage cookies in your browser; blocking them may affect some features.

With your permission, Google Analytics, delivered through Google Tag Manager, measures visits, travel-planner steps, contact-link clicks, and successfully submitted requests. We do not send form contents, guest details, request reference numbers, or URL query strings to Analytics. Google receives technical information needed to provide analytics, such as browser/device information and online identifiers. Google signals and advertising personalization are disabled in our website tags.

With your permission, we also use Microsoft Clarity to understand how visitors use public information pages through interaction measurements, heatmaps, and session replay. Clarity is not loaded on travel, contact, sponsorship, account, or checkout pages, pages with forms, or URLs containing query strings or fragments. Text is masked. Microsoft processes usage and device information and may use first- and third-party cookies as described in the Microsoft Privacy Statement. See also Google’s Privacy Policy.

Optional tracking does not load until you choose “Accept analytics.” Choose “Essential only” to decline, or use “Cookie settings” at the bottom of the page to change or withdraw your choice. The website stores this preference in your browser for up to 180 days. Recognized Global Privacy Control and Do Not Track signals keep optional analytics off. Forms remain available regardless of your choice. We use Google Search Console and Bing Webmaster Tools to review search visibility; these services do not add visitor-tracking code to this website.

Embedded content, including YouTube videos, may connect to another provider and allow that provider to receive technical information or use cookies under its own policies. External hotel, map, social-media, and other links take you to services with their own privacy practices.

How information is used and shared

We use information to respond to inquiries, review travel availability and preferences, coordinate tournament participation and guest arrangements, provide requested pricing updates, maintain request records, and protect the website from misuse. A travel request does not reserve a room, issue tickets, or collect a deposit. Sports Travel Hawaii contacts you to review details and arrange payment directly; booking requires separate agency confirmation.

Travel submissions are saved in a non-public website record and emailed to Julian at College Tournaments Hawaii and Kalei at Sports Travel Hawaii. General contact messages are emailed to the tournament director; travel contact messages go to both recipients. Authorized website administrators, hosting providers, and email providers may process information to operate and support these services. The travel agency may need to share relevant details with hotels or other providers when arranging services with you; ask the agency about its separate booking and recordkeeping practices.

The current website does not include a mechanism to sell form submissions or share them with advertising networks. A travel inquiry is not automatically a signup for general marketing. If you request tournament pricing notifications or opt into future-tournament updates, the team may follow up about those topics. You can ask to stop optional updates by emailing either contact below; service-related replies may still be needed for an active request.

Storage, retention, and security

Website request records, recipient email copies, server logs, and backups may have different retention periods. The current request system does not automatically delete submissions after a fixed period. Contact us about removal of information that is no longer needed. Information may need to be retained for active arrangements, recordkeeping, disputes, or legal obligations, and backup copies may remain until the relevant backups are replaced. The travel agency manages its own email and booking records.

The website uses HTTPS, restricted administrative access, and non-public request records. These measures do not guarantee absolute security. Please keep sensitive financial and identity documents out of website forms and ordinary email, and ask the agency for appropriate instructions if they are needed later.

Your choices and requests

You can choose not to submit a form and contact the team directly instead. To ask about information you provided, request a correction or deletion, or stop optional updates, email Julian below. For records held by Sports Travel Hawaii, email Kalei as well. Include enough information to identify your request, but do not send sensitive identity documents unless specifically requested through an appropriate channel. We may need to verify your identity before disclosing or changing records. Available rights and any exceptions depend on applicable law and the circumstances of the request.
